Minutes of the Norfolk County ASA Junior Swimming League Annual General Meeting

held at the Hewett School, Norwich on Tuesday 24 June 2008 at 7.30pm

Review of 2008 Fixtures:
Round 1 - 15 March at Dereham, Thetford & Wymondham

The Galas were held in the same format as previously, with the First Round on 15/03/08 at Pools in Dereham, Thetford and Wymondham, as St James Pool King's Lynn will not be available for Galas until later in the year, and due to a misunderstanding and the early Easter Diss gave priority to another booking. Due to the late changes in Pools Thetford and UEA City of Norwich hosted the other Galas. This year we again had 12 Teams competing that included 'B' Teams from Great Yarmouth and King's Lynn. It was pleasing that Long Stratton were able to compete despite not having their local Pool for the previous 6 months.

Round 2 on 19 April at Thetford and Wymondham

The Results from Round 1 matched Host Clubs UEA City of Norwich, Thetford Dolphins and Norwich Swan in the Copeman Cup Gala which was held at Thetford. According to the Rule 2 change 2 years ago, with both King's Lynn Warriors 'A' (2nd) and Diss Otters (3rd) having 108 points each and contesting the 6th place in the Copeman Cup Gala, the number of First places in their Galas determined who would compete in the Copeman Cup Gala, the Otters had 8 and the Warriors had 5, therefore Diss swam in the Copeman Cup. The Wymondham Gala was organised by the League Secretary with help from KLWSC. At both Galas, in conjunction with Tony Smith, Candidates were invited to enable these Officials to gain experience for their qualification.

Both Galas were successful without problems, with UEA City of Norwich winning the Copeman Cup, presented by the County President Steve McCormack, and King's Lynn Warriors winning the Christine Clarke Cup presented by Geoff Clarke.

There had been adverse comments from Spectators regarding the 'large' increase this year from £2.00 to £2.50, with some door staff taking the brunt of this.

The President advised that the increased charges had been agreed by the Executive and the Finance Sub Committee. As the County is a Gala based organisation, its main income is from these events, and there is a need overall to cover the deficit that we make on other functions where costs have increased but income cannot be increased. It was agreed that each Gala should have a County Official available at the door to be able to liase with Spectators over their concerns in future, to take away any hassle for the Door staff who are there only to take the money etc.

Review of the Rules for 2009

Rule 1 - no change

Rule 2 - There was discussion regarding which Pools we should use next year, King's Lynn would be available in September, but only as a 4 Team Gala due to Spectator limitations and Diss has already been provisionally booked. It was agreed to keep Thetford and Wymondham for the 2nd Round, with the Galas being determined according to where the Host Clubs might be competing. Robin Barrett proposed that Rd 1 be 2 Galas of 6 Teams as when only 4 Teams are swimming there is a lack of atmosphere especially in a larger Pool, it would reduce costs, also it would help the Host Clubs finding Officials, which are always difficult in these Junior Galas. This was seconded by Keith Belton and carried 4 for, 1 against and 1 abstension.

Harleston had not confirmed they would enter next year and should be asked to confirm their position, and only KLWSC had notified entering a 'B' Team. Should we only have 10 Teams we can run with 2x5 team galas.

It was confirmed that both Dereham and Diss can cope with the number of Spectators we would expect for a 6 team Gala, so they would host the Rd1 Galas.

Rules 3,4,5 - no change

Rule 6 - change as appropriate to the revised format.

Rules 8, 9,10,11 & 12 - no change, but contact Harleston and other 'B' Team entries according their League positions.

The Gala Dates are as determined by the Competitions Sub Committee as Round 1 on 21 March 2009 and Round 2 on 25 April 2009.

- The Secretary advised that he felt it time to step down and allow a younger person to take over, he hoped that if someone took on the position then he would be available next year for advice if required, a Calender based Flowchart had been prepared to help the take over.
